Terms and Conditions

1 Payment- the following methods of payment:- 

•Credit/Debit card: Visa, MasterCard, Switch

•Company Cheque: Pounds Sterling

•Bank Transfer: Pounds Sterling

A charge of 3% fee will be added for credit card and 3.5% fee for American Express payments.  No charge is made for any debit card.

Bank details available upon request.

Unless otherwise agreed, no accommodation will be provided at check-in unless we have received cleared funds.

The Pavillions requires a credit card number for security purposes and for any additional charges that may be incurred.

2 Arrivals and Departures

2.1 Apartments are available from 15:00 hours on the day of arrival and check- outs by 10:00 on day of departure. All additional hours will be charged as one day unless otherwise agreed.

2.2 For check-ins required before 12.00 midday booking and paying for the apartment for the night before would be necessary. For check-ins after 12.00 midday and before 15.00 then a £15 charge would be incurred and is only subject to availability and not guaranteed.

3 Cancellation Policy

3.1 All cancellations must be confirmed in writing or email.

3.2 Bookings of less than 1 week require        48 hours notice.

3.3 Bookings of over 1 week require 1 weeks’ notice.

The cancellation policy for corporate clients may differ but must be agreed in writing.

3.4 Bookings for 3 months or more require 14 days notice.

3.5 If bookings of 3 months or more shorten the rate is subject to change.

4 Keys, Electronic Fobs & Car Park Access Cards

4.1Unless otherwise agreed, The Pavillions will issue to the guest one set of keys as per arrangement. Guests are required to return keys, fobs and car park access cards immediately upon checking out of the property. 4.2 If at any time the guest loses the keys, they must notify The Pavillions immediately, who will replace the keys at a minimum charge of £50 per set of keys (cost may vary depending on property). Likewise for loss of fobs or car park access devices a charge of £80 will be charged.

5 Car Parking

5.1 Guests should use the designated car parking space in the property car park and should not block any main entrances or exits.

5.2 We accept no liability whatsoever for any damage, theft, vandalism or any other act of any third party which may cause loss or damage to a vehicle during a rental period whether a vehicle is parked off-road, underground or on-road parking.

5.3 You accept all risks of car parking

5.4 In buildings where a permit must be displayed and we have provided you with one, it is your responsibility to display the permit. Whether or not you have displayed the permit and you receive a parking ticket, you must resolve this directly with the Ticket issuing company.

 

5.5 There is sometimes a restriction of             No Parking of vans & commercial vehicles at some of our locations, please therefore check this at the time of booking.

 

6 Insurance and Liability

6.1 The Pavillions cannot be held responsible in any way for loss of or damage to, contents, furniture, fittings or any other personal belongings at the apartment locations. Nor can The Pavillions be held liable for acts or defaults caused by third parties. You are advised to ensure your own insurance policies cover loss or damage to personal property during your stay. Guests are advised to take out adequate travel and personal insurance.

 

7 Additional Charges

Upon arrival credit card details must be taken before check-in as security for additional charges.

7.1 Pay per view movies and sports will incur an additional charge and any costs will be deducted from the holding credit card by arrangement.

7.2 Additional mid week cleans will incur a charge of £40 to £60 depending on size of property.

7.3 In the event that the property is found to be excessively dirty upon servicing or check-out The Pavillions reserves the right to charge for additional cleaning fees.

7.4 Pets are not permitted in any of our properties unless authorised by The Pavillions

If we do agree pets an additional charge for the fumigation of the property after you vacate.

7.5 The Pavillions reserves the right to charge the guest to make right any damage caused to the property. 

7.6 For the safety and comfort of all our guests all the apartments are strictly non smoking. The Pavillions reserves the right to charge for specialist cleaning of any property where smoking has taken place. This amount could vary depending on the property.

 

8 Health & Safety

Guest safety and security are our priority. This policy is designed to ensure that the guest’s stay is as comfortable as possible. Failure to comply with the terms of this policy may be considered a breach of contract and a guest being asked to leave.

8.1 All accessible windows and doors at the guest’s apartment should be securely shut when the guest is away from the property.

8.2 It is the guest’s responsibility to insure all personal belongings that they bring to the property to their full market replacement value and keep any valuable possessions and ID safe.

8.3 Guests should not, nor permit anyone except authorised maintenance staff, to interfere with any electrics, plumbing, heating or fixtures and fittings at the apartment.

8.4 All appliances must be used strictly in accordance with the manufacturer’s manual. If 

no manual is present, guests should call the office on 0845 478 8000. 

8.5 It is the guest’s responsibility to ensure they turn off all electrical/gas appliances when they are not in use.

8.6 It is the guest’s responsibility to keep the property tidy and free of hazardous objects at 

all times and to not leave it in a condition that would make it unsafe for our staff, other guests or themselves.

 

8.7 Guests should ensure that they and their visitors are familiar with the fire escape routes in the building they are occupying. Fire doors and fire exits must be kept clear of obstructions at all times. On discovering a fire or on hearing the fire alarm, guests should call the fire service by dialling 999 and evacuate the building by the nearest fire escape. Guests should then await further instruction from the Fire Officer in control of the emergency. Do not attempt to re enter the building until told to do so.

 

9 Extending Your Booking

Any extensions must be made via The Pavillions or booking agent and confirmed via email or fax. Any bookings taken with the option to extend should notify the sales team, of any extension dates a minimum of 7 days prior to original departure date. 

10 Disability/medical problems                       If you or any member of your party has any medical problem or disability which may affect your stay, please tell us at the time of your booking. If we reasonably feel unable to properly accommodate the particular needs of the person concerned, we must reserve the right to decline the reservation or, if full details are not given at the time of booking, cancel when we become aware of these details.

11 Special requests                                                    If you have any special requests you must advise us at the time of booking. Although we will endeavour to comply with any special requests, we can not guarantee any request will be met. Failure to meet any special requests will not be a breach of contract on our part.

In consideration of other residents, guests should keep noise levels at a minimum during their stay and be conscious of actions which could be considered a nuisance or of annoyance to anyone occupying a neighbouring property.

12 Maintenance & Viewings                        12.1 We have the right to allow new potential  guests to view the properties as long as we give the current guest notice.                                          12.2 Maintenance and other contractors have a right to enter the properties for ongoing maintenance and safety checks.  

13 Website                                                Every effort has been made by The Pavillions to ensure that the information and images on its website and portal are accurate. Please be advised that information and images are subject to change without notice. All bookings, including those booked on Berkshire Room’s website subject to these terms and conditions. Please ensure you are fully aware and understand the cancellation and no show policies.
